About The Role

Sales Coordinator plays a key role in supporting sales efforts of the hotel. Primary responsibility is to assist the sales team in coordinating and executing various administrative tasks related to sales and client management. Sales Coordinator is also property champion leading relevant key sales systems. This is a perfect role for candidate who has passion and interest in the World of Sales, to gain solid foundation and experience in order to further advance in this career path.

KEY ACTIVITIES

Sales Administration (not limited to):

  • Provide administrative support to sales team, including but not limited to drafting proposals, contracts, presentations, reports, rosters, maintaining sales files/document and general communication.
  • Assist in managing and maintaining hotel’s client database, ensuring accurate and up-to-date information. Golden Sales & Catering system lead and champion in support of Director of Sales.
  • Prepare file turnovers and create permanent files for all client accounts. Maintain assigned files in accordance to guidelines.
  • Assist sales team in all aspects of trade show and sales business trip planning.
  • Coordinate and manage sales team’s calendar, including scheduling appointments, meetings, and events.
  • Assist in preparation of sales reports, performance metrics and analysis to decision making.
  • Handle incoming inquiries and leads, promptly responding to customer queries and providing necessary information.
  • Facilitate VIP client reservations.
  • Create VIP or FAM TRIP Group resumes identifying and communicating traveller’s needs and acting as liaison to ensure all operational and marketing aspects of their stay are met.
  • Conduct hotel inspections and assist with familiarizations in absence of sales team members.
  • Follow up to assist sales team on business leads.
  • Assist sales team to qualify and tele market prospective leads and in-house guests.
  • Multi-task and office management
  • Maintain office supplies, i.e. stationery, and follow correct ordering procedures.
  • Maintain a professional appearance at all times and to conduct personal behaviour in a mature professional business manner when representing the hotel.
  • As required, develop ability of client’s negotiation, evaluate, solicit, sell and confirm business. Participate sales meetings and related industry events to represent the hotel and company.
  • As required by Director of Sales, support tasks and projects outside of assigned areas for personal development and best interest servicing overall hotel business needs.

PROFESSIONAL QUALIFICATIONS:

  • Reading, writing and oral proficiency in Japanese and English languages.

  • Working computer skills and knowledge including but not limited to Internet, Outlook, Microsoft Office (Excel, Word, PowerPoint), Opera, Golden Sales & Catering, etc.
